The brief

“Every time a client books, I manually text them the night before to confirm. Sometimes I forget and they don't show up. I waste 2 hours a week just on confirmations.”

Appointment confirmation and follow-up

Every booking is confirmed, reminded, recorded, and followed up without the front desk chasing it.

The work that does not make the brochure

The daily cost

The work is not the problem. The loose ends are.

01

The follow-up you remember at 9pm.

A client asked a question four days ago. You answered it in your head on the drive home, then lost it under today's work.

The lead cools while the day runs

02

The onboarding checklist you rebuild every time.

Welcome email, folder, questionnaire, kickoff call. Same eight steps, different order, every new client.

Hours rebuilt from memory

03

The invoice that waits for a quiet day.

The work is finished. The invoice is not. Cash flow waits for the one afternoon you can sit down and reconstruct the month.

How it works

From how you say it to how it runs.

01

Say it plainly

Write it the way you would explain it to a new hire. The trigger, the steps, the frequency. No diagram required.

Appointment Reminders

“Every time a client books, I manually text them the night before to confirm. Sometimes I forget and they don't show up. I waste 2 hours a week just on confirmations.”

Reminders go out 24 hours and 2 hours before each appointment. The client record and the follow-up are created automatically.

Lead Management

“When someone calls with an emergency, I write their info on a notepad, call my technician to see who's free, then call the customer back. Half the time I lose the note.”

Emergency calls become tickets, get assigned to the nearest available technician, and trigger a quote follow-up.

3 to 5 hours/week

Client Onboarding

“After a client signs, I spend 3 hours sending welcome emails, scheduling kickoff calls, creating shared folders, and sending questionnaires. Every single time, manually.”

A signed contract starts the welcome sequence, questionnaire, kickoff scheduling, and shared folder setup.

Daily Reports

“At the end of every night, I pull sales from the POS, count labor hours from a spreadsheet, check inventory in a notebook, and type it into a report for the owner. Takes me an hour.”

The end-of-day report compiles POS sales, labor hours, inventory usage, and customer feedback in one email.

Why VibeOps

Software should remove work, not add another place to check.

VibeOps is built for the owner who is also the operations manager, the scheduler, and the person who remembers the follow-up. The plan should fit on one page and make sense on the first read.

Small business operations / Built to be handed off

Plain English in

No flowcharts, no setup calls, no new vocabulary.

A real plan out

Triggers, actions, tools, frequency. A document you can hand to anyone.

Your tools, your data

Keep the stack you already run. Export the plan whenever you want.

Questions

Questions, answered plainly.

No sales call. No hidden workflow. Here is how the product actually works today.

Does VibeOps run the automations for me?

It builds the plan and the exact step sequence. You connect the tools you already use, or hand the plan to whoever sets them up. The simulation lets you review the logic before anything goes live.

Do I need to know Zapier, Make, or n8n?

No. The plan names the tools and explains what each step does. If you already use an automation platform, the pattern will look familiar. If you do not, the plan is still a clear handoff document.

What happens to the work I describe?

Your brief is stored with your account and sent to our AI provider only to generate the plan. Deleting the plan removes it from your library.

How accurate is the time estimate?

It is an estimate from the plan, not a guarantee. Use it as a starting point, then measure the real change once the automation is running.

What happens after three saved plans?

You can still build and preview new plans. To save another one, delete a plan from your library. There is no paid plan to upgrade to right now.

Can I export a plan?

Yes. Export any generated plan as a Markdown file with the brief, steps, tools, and estimated time. No lock-in.
